Title: Office Aide
Job Requirements
The Office Aide supports the Principal(s), Secretary, and staff in the day-to-day operations of the school and/or program. This position is highly visible and will be greeting visitors to the building on a regular basis. Duties may include maintenance of confidential student records, direct contact with students, parents/guardians, and support staff at a school site. Frequent public contacts in person, by telephone, or email require the application of established policies and procedures, but questions are referred to higher-level authority when a procedure has not been established. This position will require a wide variety of clerical tasks, which may require the use of various technology.
Job Qualifications
High School Diploma
Previous office experience preferred
Strong interpersonal skills and friendly disposition
Excellent oral and written communications skills
Word processing and computer skills

Essential Functions & Responsibilities

Demonstrate support of the Oak Lawn-Hometown School District 123 Strategic Plan
Uphold the established Board of Education policies, regulations, and administrative procedures
May include record keeping, data-base management, document preparation, customer service, communication, and site support
Assist administrator and other staff in planning and preparing for meetings, inservices, conferences, and workshops
May assist in the development of office procedures
May apply knowledge of modern office methods, equipment, and practices: including letter and report writing, receptionist and telephone etiquette, and filing systems; correct English usage, spelling, grammar, and punctuation
Handle incoming and outgoing mail
May coordinate Lunchroom Supervisors’ daily schedule; keep accurate record of students receiving free lunch
May keep track of fees owed and send out quarterly fee reminders
Insure appropriate security and safety methods are employed within the office
May order supplies and equipment
May organize office workflow to meet deadlines
Ability to sit/stand for prolonged periods of time
Utilize time management techniques to organize and prioritize work
Regular attendance and/or physical presence at the job

Performance in this position will be evaluated by the Building Principal or designee in accordance with the Board of Education’s policy on Evaluation of Professional Personnel.
